I. Administrative Assistance
? Receive visitors and telephone calls with tact and discretion and acts according to the nature and urgency of each including redirecting as appropriate.
? Provide background information for appointments with official visitors and/or staff members.
? Process requests for office supplies by staff.
? Draft general or administrative correspondence on own initiative or on the basis of instructions; finalize correspondence/reports for signature/clearance.
? Prepare minutes during internal meetings.
? Support the organization of meetings, workshops, seminars including developing list of participants, preparing letters of invitation, reservation of meeting rooms and hotel accommodation, dispatching of materials and liaising with participants and others involved.
? Arrange for team members’ travel, transportation, accommodation and events.
? Prepare and forward the requests for payments of consultant’s service; prepare statements of expenses forms.
II. Other Support
? Oversee and monitor the project information flow, screening, sorting and analyzing, identifying areas which need action.
? Keep abreast of the AIIB’s BoD/BoG meetings and policy documents to ensure effective and timely processing of the projects.
? Prepare project signing package, checking language, grammar and accuracy of the legal documents prior to submitting for signature and clearance.
? Facilitate efficient process for external counsel engagement including drafting and preparing letters, processing payment in internal systems, maintaining financial records, and coordinating closely with the budget focal point to track expenditure for external legal services.
? Ensure that documents prepared by the LEG are presented in accordance with proper AIIB format.
? Print, scan, photocopy, shred and transmit of all documents prepared by the LEG.
? Take down professionals’ comments/opinions in shorthand and organize them into formal documents.
? Maintain filing systems of legal documents, and ensure timely update of internal professional filing system and all activities supported are traceable and accessible as required.
? Assist with maintaining the legal library.
? Assist professionals preparing presentation slides using Power Point and other software packages. Assist with budgetary and related matters.
? Provide cover when other secretaries are away.
Candidate Requirements:
? Bachelor’s degree or above from a reputable university; Major in English language, International Study and other relevant fields;
? Minimum 1 year of relevant administrative support experience in an international/financial institution;
? Proficient in verbal/written English and Chinese
? Excellent interpersonal, diplomatic and organizational skills as well as ability to juggle multiple priorities;
? Self-motivated and detail-oriented; able to work under pressure and meet deadlines; service orientation;
? Proven experience with MS Office Applications is a must.
